Attendance Policy

Dear Parents and Guardians,

I hope this message finds you and your family well.

This letter serves as an important reminder of the Hempstead High School Attendance Policy, aligned with Hempstead Board of Education Policy 5160: Student Absences and Excuses, and the New York State Education Department (NYSED) guidelines on chronic absenteeism.

The Board of Education recognizes a strong connection between consistent class attendance and student success. In accordance with this, a student’s final grade each marking period may be based not only on performance (tests, assignments, projects) but also on classroom participation. Regular attendance is essential to academic achievement, student engagement, and overall school progress.

Attendance Expectations

Students are expected to attend all scheduled classes daily. Unexcused absences may negatively impact a student’s participation grade and, over time, overall course performance.

Chronic Absenteeism & Academic Probation

Students whose attendance (excused or unexcused) exceeds a 10% absentee rate may be placed on academic probation for the affected course(s). If attendance does not improve, students may be at risk of losing course credit or promotion to the next grade level. In addition, chronically absent students may be denied participation in field trips, athletics, and extracurricular activities at the discretion of the principal.

Types of Absences

• Absent Exempt: School-related reasons (e.g., field trips, PPS services, guidance meetings). These do not count toward the 10% threshold, but missed work must be made up.

• Absent Excused: Approved reasons include personal or family illness, court appearances, religious observances, college visits, and more. Documentation is required. Make-up work is allowed.

• Absent Unexcused: All other absences (e.g., family vacations, oversleeping, unverified notes) will be marked unexcused, and students may not be allowed to make up missed work.

Parent/Guardian Responsibility

Under NYS Education Law, parents/guardians of students aged 6 to 16 are legally responsible for ensuring their child’s regular and punctual attendance. It is required that:

• The school is notified within 24 hours of an absence, and

• A written excuse is submitted on the student’s return, including:

  1. Date written

  2. Student’s full name

  3. Date(s) of absence

  4. Reason for absence

  5. Signature of parent/guardian (or physician, if applicable)

Students who fail to bring a written excuse within five days may have the absence permanently marked as unexcused.

Disciplinary Measures

Unexcused absences may result in consequences consistent with the District Code of Conduct, including detention, in-school suspension, and revocation of privileges (e.g., trips, sports, and other extracurricular activities). Designated staff will notify families to discuss intervention strategies as needed.

The building principal may review and excuse absences under extenuating circumstances on a case-by-case basis.

ASUNTO: Recordatorio Importante – Política de Asistencia Estudiantil

Estimados padres y tutores:

Espero que este mensaje les encuentre bien a usted y a su familia.

La presente tiene como objetivo recordarles la Política de Asistencia Escolar de Hempstead High School, conforme a la Política 5160 del Consejo de Educación de Hempstead: Ausencias y Excusas de los Estudiantes, y las directrices del Departamento de Educación del Estado de Nueva York (NYSED) sobre el ausentismo crónico.

El Consejo de Educación reconoce la relación directa entre la asistencia constante y el éxito académico. Por ello, la calificación final de cada estudiante en un periodo de calificaciones podrá basarse en su participación en clase, además de su rendimiento en exámenes, tareas, y proyectos.

Expectativas de Asistencia

Se espera que los estudiantes asistan diariamente a todas sus clases. Las ausencias injustificadas pueden afectar negativamente la nota de participación y el rendimiento general del curso.

Ausentismo Crónico y Probatoria Académica

Los estudiantes cuya asistencia (justificada o no) supere el 10% de ausencias pueden ser colocados en probatoria académica. Si no hay mejoría, corren el riesgo de perder el crédito del curso o no ser promovidos al siguiente nivel escolar. También podrían perder el privilegio de participar en excursiones, deportes y actividades extracurriculares, a discreción del director.

Tipos de Ausencias

• Ausencia Exenta: Razones escolares (ej. excursiones, terapias, reuniones escolares). No cuentan para el 10%, pero se debe recuperar el trabajo perdido.

• Ausencia Justificada: Enfermedades, visitas a universidades, tribunal, emergencias familiares, observancias religiosas, etc. Se requiere documentación.

• Ausencia Injustificada: Vacaciones familiares, dormir tarde, notas sin motivo válido, entre otros. No se garantiza que el estudiante pueda recuperar el trabajo.

Responsabilidad de los Padres o Tutores

Según la ley del estado de Nueva York, los padres/tutores legales son responsables de asegurar que sus hijos (de 6 a 16 años) asistan puntualmente a la escuela. Deben:

• Notificar a la escuela dentro de las 24 horas de la ausencia, y

• Enviar una nota escrita al regresar, que incluya:

  1. Fecha de la nota

  2. Nombre completo del estudiante

  3. Fecha(s) de ausencia

  4. Motivo claro de la ausencia

  5. Firma del padre/tutor (o médico si aplica)

Las notas deben presentarse dentro de los cinco días escolares posteriores a la ausencia.

Medidas Disciplinarias

Las ausencias injustificadas pueden resultar en consecuencias según el Código de Conducta del Distrito, incluyendo detención, suspensión interna y pérdida de privilegios.

El director podrá revisar y excusar ciertas ausencias por circunstancias excepcionales.
